Vendor Management Software, From the Vendor's Side.

Restaurants size up their vendors, in vendor management software or on a notepad. They reward clear prices, correct orders and easy buying. With VOS you offer all three: customers talk through each order in the app, from their own guide at your prices, at any hour, and check it before sending.

Sound Familiar?

Your accounts judge every vendor on how easy it is to order.

Most restaurants buy from several vendors, and some compare them in vendor management software. When ordering from you means a call, a voicemail, a long email chain or a guess at the price, you become the hard one to deal with. That's a bad spot to be in when a restaurant trims its vendor list. Here's where it shows:
Integration icon

"They send orders after we close"

Chefs place orders at 11pm after close or 6am before prep. If all they reach is voicemail, some of those orders get to you and some don't.
Integration icon

"The order on the truck isn't the one they meant"

Someone hears "two cases" and types twelve. Nobody spots it until delivery day, and with only a rep's phone notes to go on, nobody can prove what was asked for.
Integration icon

"They have to call to check what things cost"

With no list of their own, a customer calls, waits on hold, and has a rep read out the list and the prices before they can place a single order.
Built for Food Distributors

Whether or not they use vendor management software, VOS makes ordering from you quick and clear.

Clear Prices

Every account sees your current prices before it orders.

Each restaurant gets a guide listing just what it buys from you, with your price and SKU on every item. Nobody scrolls a full catalog or calls to ask what something costs. They open their guide, talk through the order, and send it.

Correct Orders

The order they send is the order your team gets.

Your customer talks through the order in the app, at any hour, and fixes any wrong quantity before sending. VOS can send it to a rep's inbox as a Word, Excel or PDF file, pass it along by EDI or API, or put it straight into QuickBooks. No one jots down a call or replays a voicemail. Once an order arrives, your staff handle it just as they do today.

A Paper Trail

If an order is questioned, the answer is on file.

When an account asks about last Tuesday's order, nobody digs through voicemail. App orders carry a number, a date and a timestamp, and show who sent them. Some restaurant accounts may score you in vendor relationship management software. With VOS, you keep your own record of every order they place in the app, too.

Reps Who Sell

Your reps take fewer phone orders and spend more time growing accounts.

Once accounts order through the app, your reps spend far less of the day on the phone. Ordering through the app takes 20-30 minutes less than a call to your office. That time can go into the accounts you have and the ones you want next.
Fewer order calls and voicemails to return
No price lists to read out over the phone
Quicker replies to account questions
More rep time for new items and new accounts

Why VoiceOrder Solutions

Built for the vendor.
Not a buyer's procurement suite.

Large buyers run vendor management system software, with a procurement team and a legal department behind it. Your accounts have a chef and a manager, and they need a vendor that makes ordering quick. Here's how VOS, a tool you offer your accounts, compares with the suites big buyers use and with taking orders by phone.

FAQ

Restaurant vendor management software questions, answered for distributors

Will my accounts or my team have to change how they work?
Very little. The restaurants you supply keep dealing with your team the way they do now. The one change is how orders start: accounts place orders through the app whenever they like, so fewer come in as calls, voicemails or loose emails. Your office keeps its current systems, and nothing behind the scenes has to be replaced.
What does vendor management software do for a restaurant?
It helps a restaurant keep track of the vendors it buys from: who they are, what they charge, how orders go, and which ones are worth keeping. VOS is not that tool, and it has no supplier scorecards or onboarding portals. It works from your side as the vendor, on the parts a restaurant notices every week: the price it sees, the order it sends, and how fast it can order from you. Your restaurant accounts get VOS through you, their distributor.
Is VOS vendor contract management software?
No. VOS puts your prices on the guide every account uses to order. It does not draft contracts, collect e-signatures, store contract files, or track renewal dates. If you need contract management, run a dedicated tool alongside VOS.
Is this the kind of vendor management system used for staffing or vendor risk?
No. In staffing, vendor management software is used to manage agencies and contract workers. In banks and other regulated businesses, it runs background checks on suppliers and rates their security and compliance risk. VOS does neither. It is an ordering app you give to your restaurant and store customers.
Will orders fit the system my office already runs?
Most likely. Orders can come by email with a PDF, Word or Excel file attached, or through EDI, API or QuickBooks. VOS is also API-ready and works with distribution platforms, and we can talk through your setup on the demo.
Is there a record if a customer questions an order?
Yes, as long as the order came through the app. Your VOS admin platform keeps each account's order history. Each of those orders carries its own number, the exact time it came in and who placed it, so you can answer with facts.
Does it work for accounts with several locations?
Each account has its own guide, tied to your pricing and SKUs. For a group running more than one site, we'll talk through how to set it up on the demo.
