For Food Distributors

Inventory Control Software That Protects Your Margin.

Lost margin often starts at the order. VoiceOrder Solutions is inventory control software that tackles it there: the restaurants and shops you supply place orders by voice in the VOS ordering app, and approve every line before they send it. Their orders come through numbered and timestamped, and the catalog shifts as your stock does.

Sound Familiar?

Your margin is leaking between the order and the truck.

It's rarely one big loss. It's a credit here, a second delivery trip there, and a wrong case nobody caught until the customer called. Here's where it goes:
Integration icon

"That's not what I ordered"

A voicemail order got keyed in wrong: the wrong item or the wrong quantity. The truck left with it, and now you owe a credit and a second trip.
Integration icon

"We're out. Can we sub it?"

The customer ordered an item you ran out of yesterday. You find out at picking, then ship short or swap in something else and hope they take it.
Integration icon

"Nobody can prove who's right"

The customer says ten cases. Your rep's note says six. With no timestamped record, the fastest fix is a credit, and your margin goes with it.
Control Means Margin

Only Items You Carry

Food inventory control software that keeps orders to items you carry.

Food distribution does not run on a generic item list. Every customer account shops from its own guide: only the products it buys, at your prices, on your SKUs. Every line arrives with the right item number and the right price, so nobody has to turn "the usual cheese" into a real product.

Fewer Short Surprises

See shorts as orders arrive, not at picking.

A short costs you twice: the sale you lose and the call your rep has to make. VOS runs alongside the stock system you already have. Stock levels move with each order as it is placed, and the catalog adjusts as they shift. For a distributor, good inventory control system software means spotting a gap while there is still time to act.
Stock levels update as soon as an order is sent from the app
Fewer lines swapped at the last minute
Fewer shorts that blindside your pickers
Less rep time spent calling about missing items

Fewer Errors and Disputes

Catch order errors before they turn into credits.

Customers speak their order into the app, so it is digital from the start, and they review it before it is sent. With no phone message to type up, fewer wrong quantities and missing lines slip in. Every order from the app also carries an order number plus a date and timestamp, so when a customer pushes back on a delivery, you can pull up exactly what they sent.

Nothing to transcribe from a call or voicemail

Right-Sized

Inventory control software for small business distributors.

You should not need an IT department and a long rollout to stop paying for order mistakes. VOS was built for small distributors and mid-size ones, not for large enterprise firms. Your customers get an app that is easy to learn, your team sticks with the systems it runs today, and there is no complex implementation to sit through.

Also Built In

The tools that keep orders clean and your margin intact.

Extras for your reps, drivers, office and accounts, with nothing new to install.
Integration icon

More Selling Time for Reps

Phone orders move into the app, so your reps get time back for selling.
Integration icon

Clean Orders for DSD Routes

Drivers show up with the product each customer ordered, and back-office staff start from a clean order.
Integration icon

Auto-Save and Resume

If a customer steps away partway through, the order is kept. Half-finished orders do not vanish.
Integration icon

Full-Catalog Stock View

Check stock levels across your whole catalog at once, not one item at a time.
Integration icon

Confirmation by Push or Text

Customers get a push notification or a text when an order goes through, so they know it landed.
Integration icon

Every Account in One Place

Your office staff run every account and the guide it orders from in one admin platform, so VOS works as small business inventory control software with no IT team.
Integration icon

iOS + Android App

Accounts use their own iPhone or Android phone at any hour, and each order takes 20-30 minutes less than calling it in.
Integration icon

Voice Ordering

Customers can talk instead of typing, and the app turns it into written order lines.
Integration icon

Promo Alerts

Let accounts know about a deal or a new item right on their phones.

Simple Setup

Three steps to cleaner orders

Your current systems stay in place, and there is no IT project. Most distributors are set up in a day or two.
1

You send us the order guides

Share each account's current guide. We enter its items at your prices.
2

Your customers get the app

VOS runs on iOS or Android phones. Most accounts send in an order before the day ends.
3

Your team gets confirmed orders

Every one is checked by the customer, ready to act on, and in the format your office already uses.

"I used to spend hours every week ordering food. Now it's simple, super easy, and I have free time to spend on other aspects of my restaurant."

Delivery Formats

Orders go out in the formats distributors already use

Each order leaves VOS as an email with a PDF, Excel or Word file, an EDI or API feed, or a QuickBooks entry. No one has to switch software to receive it.

Why VoiceOrder Solutions

Control built for the order.
Not for the warehouse floor.

Most inventory tools scan, count and label what sits on your shelves. As inventory control software, VOS covers the part those tools leave out: the customer's order. Here's how it stacks up against warehouse software and the phone.

FAQ

Your questions on margin, setup and fit

Do I need to replace my current system to use VOS?
No. VOS sits alongside the ERP, distribution platform, or order system you have now. Your customers get a better way to send orders, and those orders land in the format you work with now. A demo is the place to see how your stock counts link up with VOS.
Is VOS warehouse, retail, or manufacturing inventory control software?
No. VOS is not warehouse inventory control software: it does not handle bin locations, pick paths, barcode scans, or packing. It is not retail inventory control software for store shelves and checkout, and it does not plan bills of materials or production runs for a factory. It also does not run cycle counts, track lot numbers or expiry dates, or put a dollar value on your stock. VOS is the ordering app for the accounts you supply, with inventory tied to what gets ordered there, and it runs next to the systems you already have.
What does inventory control software do for a food distributor?
Tools of this kind usually help you keep counts right, sell what you have and waste less. In food distribution, much of the lost margin comes from the order itself: shorts, swaps and mistakes. VOS works on that side. Customers check each order, so they can catch a wrong quantity before it is sent. The catalog stays in line with your stock, which means less swapping later. And app orders carry a timestamp, so a disputed delivery gets settled with a record, not a guess.
Will VOS stop every short and substitution?
No, and no tool can promise that. Product still runs out. What changes is when you find out. Because your stock picture shifts as customers order, you see more of those gaps when the order lands, not on the pick line the next morning.
Can I look up an old order when a customer disputes it?
Yes, for anything ordered in the app. Each one is stored with its order number, when it was placed, and who placed it. Your team pulls it up from order history, so the facts are on screen.
Does VOS connect to QuickBooks, EDI, or my ERP?
Yes. Orders can go into QuickBooks, arrive through EDI or API, come in by direct platform integration, or land as an email with a PDF, Excel, or Word file. VOS is API-ready and works with distribution platforms and ERPs, but it is not accounting or ERP software itself.
Is VOS too much for a small distributor?
No. This inventory control software was built for independent distributors without a big IT team. We quote each distributor separately: book a demo and we will price it for your operation.
How long does setup take?
Going live usually takes 24 to 48 hours, with no IT project on your side. Most customers place their first order the same day they get the app.
