For Food Distributors

Inventory Tracking Software That Keeps Up With Orders.

Know what's on hand in real time, while customer orders are still coming in. The restaurants and stores on your routes order by voice in the VOS mobile app, and on-hand stock and the catalog update with each one. This inventory tracking software runs beside the stock system you use today.

Sound Familiar?

Orders arrive faster than your stock
sheet can keep up.

At plenty of food distributors, the stock picture runs behind the orders. Nobody sees the gap until something goes wrong:

"We promised a case we didn't have"

An order came in for an item that sold out yesterday. Now your rep has to call about a substitution, and the account takes a hit.
Integration icon

"Our stock sheet is always a day behind"

Orders arrive by phone, email and voicemail. The spreadsheet only catches up once someone keys them in, and by then the numbers are stale.
Integration icon

"My reps chase stock counts all day"

Before they confirm an order, reps walk to the back or call the office to ask what's left. That's time they aren't spending on their accounts.

Real-Time Stock

Watch stock move the moment an order lands.

VOS links your stock to the orders your customers send. When one comes through the app, stock for those items moves with it, so a rep can see what's left without walking to the shelf. Think of it as software for tracking inventory that picks up every order from the app the moment it's placed.
Stock levels tied directly to customer orders
A timestamp on every order sent through the app
App orders reach your stock view with no typing
Fewer rep calls to the office about stock
Catalog Updates

Your catalog changes when your stock does.

When a stock level shifts, VOS updates the catalog on its own. Each customer orders from a guide you control, and the catalog behind it stays in sync with your stock. That means fewer sold-out surprises and fewer awkward calls to your customers.
The catalog adjusts by itself when levels move
You manage the catalog each order guide draws from
Fewer substitutions once the truck is loading
Catalog stays current through overnight orders

Mobile + Voice

Your customers do the talking. Your stock follows.

An inventory tracking app usually puts a scanner in your team's hands. VOS starts with your customers instead. They say what they need into the app on iOS or Android, any time of day. Stock is linked to those orders, so what they buy shows up on your side without a rep typing it in.
Customers talk through their order while they check the cooler
Spoken items become an order on screen they can check
After-hours orders get captured, not lost in voicemail
Items match your SKUs, so stock moves on the right product
Full-Catalog View

An inventory tracking system that covers every item you sell.

A spot check covers a few shelves. VOS gives your team visibility across your full product catalog, tied to what customers are ordering. You see the stock level of each item, without a walk to the back.
Visibility across every item in your catalog
Stock and order activity in the same picture
Slow sellers stay in view, not only the fast movers
Spot sold-out items before anyone promises them

Find out how VOS keeps the on-hand view current as customers order

Spend 20 minutes with us on a free walkthrough. We'll show you how customer orders, stock levels and your catalog stay in step.
Simple Setup

Setup takes a day or two for most distributors

No IT team. No systems to rip out. Three steps, and stock starts moving with orders from the app.
1

Send us your current guides

We load every account's guide into VOS, keeping each item, price and SKU, and walk you through connecting the stock numbers you keep today.
2

Get each account set up

We create every customer account for you. Your customers add the app to their phones, and most order the same day.
3

Track stock as orders arrive, 24/7

Orders from the app reach you in your usual format, and your inventory view updates with each one.

"I used to spend hours every week ordering food. Now it's simple, super easy, and I have free time to spend on other aspects of my restaurant."

Why VoiceOrder Solutions

Stock tracking that starts with the order. Nothing to swap out.

Many inventory apps learn about an order only once it's typed in or synced from another system. With VOS inventory tracking software, the order your customer places in the app is the update.

FAQ

What distributors ask about stock tracking with VOS

Can I keep my ERP and other software if I add VOS?
Yes. Your ERP and distribution platforms stay in place, and VOS works alongside them. Orders come through in a format you already accept: email (PDF, Excel or Word), EDI, API or QuickBooks. This inventory tracking software adds a current view of stock on top of that. Nothing gets ripped out.
How does VOS keep on-hand numbers up to date?
Each order your customers place in the app is tied to your stock, so the on-hand picture moves as each one comes in and the catalog follows. Phone and voicemail orders don't move it, so the picture is sharpest when your accounts order through the app. VOS works beside whatever tracks your stock today. Ask us on the demo how your existing stock data connects.
Does VOS do barcode scanning or bin locations like a WMS?
No. VOS does not scan barcodes, assign bins, plan pick paths or print labels. Those jobs belong to a WMS, and VOS is not one. It is the ordering front door for your customers, plus inventory visibility tied to those orders. If a WMS or scanner app already runs your warehouse, VOS works next to it.
Will VOS cut down on surprise shortages?
It helps. When your team can spot a gap as orders land, fewer shortages catch you off guard and fewer orders need a last-minute swap. VOS does not forecast demand or reorder from your own suppliers.
Is VOS inventory tracking software right for a small distributor?
Yes. Small and mid-size food distributors, from independents to DSD operators, are who VOS was built for. It is simple inventory tracking software: setup is light, and you need no technical team to run it. Pricing comes as a quote, and we can go over it on a demo call.
Is VOS better than tracking stock in a spreadsheet?
It works best beside one. A spreadsheet only changes when someone types in the latest order. VOS ties each item's stock to app orders, for every product you carry. It doesn't count stock, so your counts stay where they are today.
How quickly can I get started with VOS?
Most distributors are taking orders through VOS within 24 to 48 hours. There's no complex implementation and no IT project. Share your guides with us, we build the accounts, and most customers get an order in the day they get the app.
